Privacy Policy

This Privacy Policy explains how Numina ("Numina," "we," "us") handles information in connection with our software and services (the "Service").

Our role

For personal data our customers load into the platform, the customer is the data controller and Numina is a data processor acting on the customer's instructions. For information we collect directly (for example, when you visit our website or sign up), we act as a controller.

Information we handle

• •Customer-provided data: the book of business a customer uploads or syncs — company records, commercial data, and business-contact details — processed on the customer's behalf to provide the Service.
• •Account and usage data: information needed to operate accounts and the Service, including authentication details and logs.
• •Public information: publicly available information we gather to ground analysis (for example, news, funding, and hiring signals).

How we use information

To provide, secure, support, and improve the Service — including generating analysis, plays, and draft communications. We do not use customer data to train AI models, and we do not sell personal data. Before content is sent to our AI provider, we minimize personal data; the model reasons over roles, titles, and company facts rather than raw personal data.

How we share information

We share information with sub-processors that help us run the Service (such as hosting, database, AI, and payment providers) under appropriate contractual protections. We do not share one customer's data with another customer. We may disclose information if required by law.

AI processing

The Service uses third-party AI providers to generate analysis and drafts. AI processing runs server-side only. Under the provider's API terms (Anthropic), data submitted via the API is not used to train models and is not retained for training, and Numina does not use your data to train, fine-tune, or improve any model.

International transfers

Where data is transferred across borders, we rely on appropriate safeguards, such as Standard Contractual Clauses.

Security

We use technical and organizational measures including tenant isolation, encryption in transit and at rest, and access controls. See our Security Overview in the Trust Center for detail.

Retention and deletion

We retain customer data for the life of the account and delete it on request or at termination, subject to legal retention requirements. Admins can delete imported account data, or all organization data, from within the product.

Your rights

Depending on your location, you may have rights to access, correct, delete, or restrict the processing of personal data. Requests relating to data a customer loaded into the platform are handled together with that customer (the controller).

Children

The Service is for business use and is not directed to children.

Changes

We may update this Policy; material changes will be posted here with a new "last updated" date.
